1 What ProtocolHQ is

ProtocolHQ is a coaching and athlete management platform that lets coaches build exercise libraries, create and assign training workouts, track athlete performance, and communicate directly with athletes. Athletes can view their assigned workouts, log exercise performance, submit wellness check-ins, and message their coach.

ProtocolHQ is a software tool. We are not a sports governing body, medical provider, or licensed fitness professional. We are not responsible for the coaching advice, training programmes, or exercise prescriptions created and assigned through the platform.

2 Eligibility

To use ProtocolHQ you must:

• Be at least 13 years old. If you are under 18, you must have permission from a parent or legal guardian.
• Provide accurate information when creating your account.
• Be a human individual — automated account creation is not permitted.

We reserve the right to refuse or terminate access to anyone who does not meet these requirements or who violates these Terms.

3 Your account

You are responsible for keeping your account credentials secure. Do not share your password. If you believe your account has been compromised, contact us immediately at overseas.radar@gmail.com.

You are responsible for all activity that occurs under your account. ProtocolHQ cannot be held liable for any loss or damage arising from unauthorised access to your account.

4 Coaches

If you use ProtocolHQ as a coach, you agree that:

• You are solely responsible for the content of workouts, exercises, and programmes you create and assign.
• You have the necessary qualifications, certifications, or experience to prescribe the training you provide through the platform.
• You will not assign workouts or exercises that could foreseeably cause injury to athletes who follow them.
• You will not use ProtocolHQ to coach athletes without their knowledge or consent.
• Coach notes about athletes are private professional records — you must not use them to record unlawful, discriminatory, or defamatory information.

5 Athletes

If you use ProtocolHQ as an athlete, you agree that:

• You accept full responsibility for performing the workouts assigned to you in a safe manner appropriate to your physical condition.
• You will consult a medical professional before starting any new exercise programme if you have a health condition that may be affected by exercise.
• You will not log false performance data for the purpose of misleading your coach.

6 Acceptable use

You must not use ProtocolHQ to:

• Upload content that is illegal, harmful, defamatory, abusive, or infringes the intellectual property rights of others.
• Harass, threaten, or impersonate another user.
• Attempt to gain unauthorised access to another user's data or account.
• Interfere with the operation of the platform, its infrastructure, or other users' experience.
• Use automated tools to scrape, crawl, or extract data from the platform without our written permission.

We may suspend or terminate accounts that violate these rules without prior notice.

7 Your content

You retain ownership of any content you upload to ProtocolHQ — including exercise videos, images, workout descriptions, messages, and performance logs.

By uploading content, you grant ProtocolHQ a limited, non-exclusive licence to store and display that content to the users you share it with (e.g. your athletes or coaches), solely for the purpose of operating the platform. We do not claim ownership of your content and we do not use it for advertising.

You are responsible for ensuring you have the rights to any content you upload. Do not upload content that you do not have permission to share.

8 Limitation of liability

To the fullest extent permitted by law, ProtocolHQ and its operators shall not be liable for:

• Any injury, illness, or physical harm resulting from workouts or exercises performed through the platform.
• Loss of data due to technical failures, security incidents, or service interruptions.
• Any indirect, incidental, or consequential damages arising from your use of the platform.
• Actions or content created by coaches or athletes using the platform.

Our total liability to you for any claim arising from these Terms or your use of the platform shall not exceed the amount you paid to us in the 12 months preceding the claim (which, for free-tier users, is zero).

9 Termination

You may stop using ProtocolHQ at any time. To request deletion of your account and data, email us at overseas.radar@gmail.com.

We may suspend or terminate your account if you violate these Terms, without notice or liability. Upon termination, your right to use the platform ceases immediately.

10 Changes to these Terms

We may update these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify you via the app or by email where possible. Continued use of ProtocolHQ after changes take effect constitutes acceptance of the updated Terms.

11 Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of ProtocolHQ shall be subject to the exclusive jurisdiction of the courts of England and Wales.
